Regular Meeting 09/17/2009
Norfolk Public Library
Board of Library Trustees

A regular meeting of the Norfolk Library Board of Trustees was held on September 17, 2009 at the Library. In attendance were Robin Glasser, Director, Sarina Bluhm, Associate Director, and the following trustees: Harvey Boulay, Kenneth Nelson, Chair, and Kumkum Malik.

Mr. Nelson called the meeting to order at 6:05 p.m.

Approval of Minutes.
A correction was made to the minutes of the May meeting.  Kenneth M. Nelson was changed to Kenneth W. Nelson. The minutes of the meetings on May 21 and June 16 were approved.

Director’s Report: Mrs. Glasser reported on the following;

  • The pergola is complete. Landscaping and signage will be unveiled at retirement dinner.
  • Mural is restored.  Committee members viewed the completed mural and were unanimous in their approval.
  • ARIS report has been filed. Financial report to be filed, with waiver application for first time. We are $23, 000 short of municipal appropriation. Letters are needed from Trustee Board, Town Accountant, and Town Administrator. The process is underway.
  • Disgruntled Library patron who erroneously believed that a “painting” (actually a print) of hers was stolen from the Library. Details of the multiple telephone communications were placed before the Board.  Trustee chair ruled that an undue burden was being placed on the time of the Library Director due to the reported unreasonable expectations of the Patron. Director is to contact the Patron and invite her to see video documenting the evidence
  • Inventory underway. The entire adult collection is done. One third of the rest is also done.
  • Inmate crew from Pondville will clean out dust from shelves, and wash windows. If time allows, then they will also weed, on Monday September 21.
  • SAILS will be putting in a time saving telephone notification system for Patrons who do not have email. This can also be used in  addition to the email system of notification.
  • Statewide committee of SAILS is recommending a central delivery system. The Director reported that this will be beneficial for the Library as it will save time for staff.
  • The new phone system is being worked upon.

Associate Director’s Report.
Ms. Bluhm reported on Library activity for September, 2009 as follows: Self-check – 45% of circulation. Total circulation for the month: 10,010 items and 1,396 Patron visits. 33 meetings were held at the library.

Tim West is moving and October 3 is his last day. He will not be replaced.

Friends Report.
A meeting was held on September 14, 2009, and attended by Mrs. Glasser.

New Business.
  • Mid-year cuts are likely, as per Town Administrator.
  • No money is expected from State to support the SAILS telecom lines. The switch to Comcast lines is underway now, to minimize impact.
Self-check for all may be the future. Then only one person will be needed at circulation desk. This will be a radical change.

Next regular trustee meeting – October 15, 2009.

The meeting was adjourned at 7:05 p.m.
