Meeting of the Norfolk Public Library Board of Trustees

April 18, 2007

A regular meeting of the Norfolk Public Library Board of Trustees was held on April 18, 2007 at the Norfolk Public Library.  In attendance were Robin Glasser, Library Director; Heather Pisani-Kristl, Associate Library Director; Mary Jo Gothorpe, President of the Friends of the Norfolk Public Library; and the following Trustees; Ken Nelson, Harvey Boulay, and Mary Jo Gothorpe.

The meeting was called to order at 8:00 A.M.

Building Issues:
Bob Bullock, Ron Bain and John Houlihan were in attendance at this meeting to discuss the installation of security equipment into the new library building.  John Houlihan was representing Aslan electric of Franklin.  We had a discussion of the proposal for Closed Circuit Television, Intrusion Alarm, and a unit to connect the defibrillator cabinet.  The $13,200 approved at Town Meeting in 2006 will be used to purchase the systems.  Once the proposal in signed by the Building Department and a date for installation is finalized it will take approximately two weeks for completion of the installation.

Director’s Report
Mrs. Glasser reported that there will be an adult program on Tuesday, April 24 at 7:00 P.M. called Why You’re Already a Leader: Stories From Gettysburg.  It’s being presented by Norfolk author Paul Hemphill.

Associate Director’s Report
Ms Pisani-Kristl reported that there were 35 non-library meetings in the meeting room and the lounge during the month of March.

The self check station continues to be a popular option for patrons.  February saw 48% of all check outs at the station and March overall showed a 40% usage.  However, on March 29th the self check station clocked an astounding 80% of the total patrons checking out items.

The library received the final LIG/MEG annual grant payment of $238.00 from the MBLC.

Permanent Building Committee/Interiors Report
Mr. Boulay reported that Bill Domineau from the Historical Commission and he are having ongoing conversations regarding the renovation to the School House.

Strategic Plan Report

Friends of the Library Report
Mrs. Gothorpe reported that as of the end of March, 348 people had joined the Friends of the Library during their 2007 Membership Drive.  The planning for the 2007 Book and Bake Sale is progressing, and the group is looking forward to holding the sale at the DPW Garage at 33 Medway Branch again this year.  The book sale will be held on April 27th and 28th.  The Jeanne D. Hill Plaque was hung by the circulation desk.  The plaque is updated each year and represents people who have joined the Friend of the Library at our highest membership level of $50.00 and above.  Over 100 people joined at this level during the 2006 Membership Drive.

New Business
Mrs. Glasser discussed two additions to the policy manual.  The first outlined the Bulletin Board usage policy.  The policy refers to the large bulletin board in the main entry way to the library.  All other bulletin boards are for library use only.

The second policy states that email addresses in the library database are for library and Friends of the Library usage only and will not be shard with any other business, organization or individual.  Email will not be sent by the library to the emails in the database on behalf of any business, organization, or individual

The Board VOTED to accept these two policies.  They will be added to the Service Policy.

There being no further business it was moved and seconded and the Trustees VOTED to adjourn the meeting at 9:30 A. M.
