Meeting of the Norfolk Public Library Board of Trustees

October 20, 2005

A regular meeting of the Norfolk Public Library Board of Trustees was held on October 20, 2005 at 6:15 p.m. at the Norfolk Public Library.  In attendance were Robin Glasser, Library Director, Heather Pisani-Kristl, Associate Library Director, Mary Jo Gothorpe, President of the Friends of the Norfolk Library, and the following Trustees: Frances Holman, Harvey Boulay, and Kenneth Nelson.  

The meeting was called to order at 6:25 p.m.

Approval of Minutes
The minutes of the meetings of October 6, 2005 were approved.

Director’s Report
Mrs. Glasser reported that the RFID tagging process will be completed early next week, and many staff are working to process new books and media for the grand opening.  John Spinney organized the basement and mezzanine storage area.  The wooden NPL sign is in need of repair, and Mrs. Gothorpe will see if the original craftsman can take care of it.

Associate Director’s Report
Ms. Pisani-Kristl reported that the three new employees are fitting in well and doing good work.

Report from PBC Liaison
Mr. Boulay noted several outstanding issues that are preventing the library from obtaining a certificate of occupancy: an accelerator needs to be installed in the sprinkler system, the front walk-off mat needs to be ordered and installed, the hanging lights in adult fiction need to be raised, exterior lights must be installed, and the preschool toilet issue is being presented to the state Architectural Access Board The PBC, project manager, and architects intend to vigorously address these items. A review of final change orders and incomplete work indicates that the library project is still within budget.

Interiors Report
S & V Associates’ subcontractor has done work on the reference/circulation desks and has taken the tables and study carrels back to their factory for repair.  However, the work that has been completed is still less than satisfactory.  Lombard will be installing the oak end panels on the stacks next week.  Shelving in the preschool room and periodicals reading room will be installed next week or during the first week of November.

Report from Friends
The Friends will not meet in October. Many Friends are volunteering for the pre-opening tasks at the library.

Old Business
Dedication of the library on November 20 (noon or 1 p.m.) is firm.  Mr. Boulay is seeking a keynote speaker.  Artist Mags Harries will visit the library tomorrow to discuss placement and installation of the Book Chair.  The NCL has postponed their vendor night, which will take place in the Community Room in the spring.  Mrs. Glasser will be attending a meeting of the Cultural Council on the 24th, and is proposing that the Council manage the art display areas at the library.

New Business
Invitations for the dedication were discussed.  Trustees from area libraries, Friends, Norfolk boards and commissions, and Corrections Commissioner Kathleen Denehy will receive invitations.  The Department of Corrections has donated much inmate labor and storage space to the library during the past sixteen months.  After the library receives its certificate of occupancy, Mrs. Glasser would like to hold an early-morning coffee reception for school staff and administration.

Public Comment  None.

Next Meeting
The next meeting is scheduled for Thursday, November 17, 2005 at 6:15 p.m. in the Norfolk Public Library.  All present were reminded of Fall Town Meeting on October 25 and the Permanent Building Committee on October 27.

Adjournment
There being no further business, it was moved and seconded and the Trustees VOTED to adjourn the meeting at 7:20 p.m.
